Grant Paperwork for Fully Funded Projects

Once a project is fully funded, the parties are responsible to fill and submit the necessary Grant forms to the Rotary Foundation. The use of this website does not replace in any way the application process that needs to be done with The Rotary Foundation. The administrators of this website will provide no support to do that, other than the guidelines published in this section. The Matching Grant Application must be submitted to the Rotary Foundation before March 31 of the current Rotary year.

You can use the interactive tools on this website to generate the application form to be sent to The Rotary Foundation. On your project page, you can click on the "Fill Online Form" button (click the button on your project page, not the sample button on this page!) to go to an online form where you can fill the necessary information. You can fill this form partially, save the data, and come back to it later. Furthermore, the various sections can be filled by different parties, host or international partner. Once the form is saved, a "Print Online Application Form" icon is added on the project page below the navigation menu. Click on this icon to get the filled application form on the screen. You just have to print it and collect the signatures. The application form can be printed by both the host and international partners. No need to email an attachment, or fax the paperwork for any party to get the filled form before they start collecting signatures.

If you want to do the paperwork on your own, the Matching Grant Application can be downloaded from the Rotary International website in PDF Format. You can then fill the form and send it back to Evanston as specified on the form. Note that no fund must be spent before the project is fully approved. The Rotary Foundation will not approve grants for reimbursement of past expenses.

The key sections to fill in the form are:

* The project description. This is typically what was submitted on this website.

* The Coordinating Co-sponsor in the Project Country. This is the person who submited the project on this website.

* The Primary International Sponsor Outside the Project Country. This is the first person who pledged support for this project. Additional people who pledged support for this project are listed in the "Proposed Financing" section.

* Project Budget. Official quotes from all vendors must be provided with the application.
